The same holds true for any activity or event. Certainly, if you are planning a patient/client appreciation day or an open house, you would need to plan precisely when each important step needs to be done (and who will do it). By writing such detailed information on your calendar and referring to it routinely, you won’t lose track of the many tasks that must be completed and, consequently, your job will become much easier to do.

Update the promotion calendar at least each month. Use it as a tool and review it every day.

As mentioned above, the Director of Promotion would bring the calendar to the staff meeting. He should come prepared to issue to the staff any tasks or orders that are necessary to thoroughly and successfully execute promotional and marketing projects and plans.

Since promotion and marketing is an ongoing function that involves each and every person in the practice, the Director of Promotion would work closely with the office manager and/or doctor to gain approval of expenditures and to carry out specific activities. He would also need to secure the authority to assign actions to staff members as necessary to accomplish the intended promotional actions.

CALENDAR STYLE

The best type of calendar to use for organizing your promotional activities would be a 22″ X 17″ desk calendar or wall calendar, with the space allocated for each day measuring approximately 3” X 2½”. You can purchase that style of calendar at any office supply store. Its design provides something large enough to be visually effective at staff meetings, with plenty of space to make notes in each day’s square.

The calendar would be clearly marked “Promotion and Marketing Calendar” and would be used solely for notations about projects and activities related to that function.
